How to Create an Effective Meeting Agenda

We’ve all been to meetings that aren’t productive that are a waste of time and money. Meetings are not free regardless of participants who are not the right ones or a lack of discussion. A well-organized agenda for meetings will ensure that you meet the goal of your meeting and get closer towards the goals of your business.

A well-organized and concise agenda for a meeting helps everyone understand what will occur during the meeting, and helps prepare participants for the meeting. Include the following items in your meeting agenda to make it effective.

List all the expected outcomes and the main purpose of your meeting. This will help you stay focused on the most important issues, and help avoid unproductive side-bars.

Then, for each item on the agenda, define what is to be discussed. This should include an overview of the topic, who is responsible for the discussion and the amount of time that should be allocated to the discussion. It is also important to include the location and the time zone of the meeting, particularly for remote teams.

If you are a team that is collaborative, consider the agenda items as a question that will be addressed by the group (i.e., “What steps do we need to take to rent equipment ?”). Each discussion point could be addressed as a query to encourage discussion and better understand what is expected during the meeting.

Set out a method to define how you’ll expect each agenda item to be dealt with. This is a crucial aspect of a meeting that is often left unnoticed however it can be a major factor in the effectiveness of the meeting. A clear process will allow participants to decide what to do with a subject, which can cause off-topic discussions, or even a complete meeting derailment. By adding a process participants can modify their comments so that they are within the time limit or suggest more time for a specific topic.
